This Privacy Policy explains how EverydayCPA LLC ("EverydayCPA," "we," "us," or "our") collects, uses, stores, shares, and protects information in connection with the iPacio QuickBooks Integration (the "Integration"), a software application that connects to QuickBooks Online to support professional bookkeeping and accounting services.
By connecting a QuickBooks Online company to the Integration, you (the "Customer") acknowledge that you have read and understood this Privacy Policy. The Integration is a professional business tool used to deliver accounting services; it is not a consumer product and is not directed to the general public.
1. Information We Collect
a. QuickBooks Online data
When you authorize the Integration through Intuit's OAuth 2.0 process, we access data from your connected QuickBooks Online company as permitted by the accounting scope you grant. This may include:
- Company profile and preferences (name, address, fiscal-year settings, currency)
- Chart of accounts and account balances
- General ledger detail and trial balances
- Transactions, including invoices, bills, payments, expenses, deposits, transfers, and journal entries
- Customer, vendor, and employee records
- Products and services (items)
- Bank and credit card register activity
- Payroll summary information, where available
- Financial reports, including profit and loss, balance sheet, cash flow, and accounts receivable / payable aging
b. Authorization credentials
We receive and store the OAuth 2.0 access and refresh tokens and the QuickBooks company identifier ("realmId") issued by Intuit. These tokens allow the Integration to connect to your QuickBooks company. We do not receive or store your Intuit account password.
c. Account and contact information
We collect limited information needed to administer the engagement, such as the name and email address of the firm personnel and client contacts who use or authorize the Integration.
d. Usage and log data
We collect technical logs generated when the Integration runs — timestamps, the operations performed, and error messages — to support security, troubleshooting, and audit recordkeeping.
2. How We Use Information
We use the information described above only to provide and support professional accounting services, including:
- Performing month-end and period-end close procedures
- Reconciling bank and credit card accounts
- Reviewing and categorizing transactions
- Preparing and proposing journal entries, accruals, depreciation, and prepaid amortization
- Preparing financial statements, reports, and workpapers
- Creating or sending invoices, bills, and related records at your direction
- Communicating with you about findings and recommendations
- Maintaining security, audit trails, and the integrity of our records
We do not use your QuickBooks data for advertising, and we do not sell it.
3. Artificial Intelligence Processing
The Integration uses artificial intelligence to assist with accounting review and analysis. To do this, financial data retrieved from your QuickBooks Online company may be transmitted to our AI service provider, Anthropic, PBC, and processed by its Claude models to generate recommendations, explanations, and draft entries.
AI-generated output is advisory and is reviewed by qualified firm personnel before any entry is applied to your QuickBooks company. Our AI provider processes this data on our behalf as a service provider and, in accordance with its commercial terms, does not use this data to train its models.
4. How We Share Information
We share information only as follows:
- Intuit Inc. — the Integration exchanges data with Intuit's QuickBooks Online platform, the source of your accounting data. Intuit's handling of your data is governed by Intuit's own privacy statement.
- Service providers (subprocessors) — we use trusted providers to operate the Integration, including Amazon Web Services (cloud hosting and infrastructure) and Anthropic, PBC (AI processing, as described in Section 3). These providers are authorized to process information only as needed to provide services to us and are bound by confidentiality obligations.
- Legal and professional requirements — we may disclose information where required by law, regulation, legal process, or applicable professional standards, or to protect the rights, property, or safety of EverydayCPA, our clients, or others.
- Business transfers — if our firm is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this Privacy Policy.
We do not sell or rent personal or financial information to third parties.
5. Data Storage and Security
We protect information using administrative, technical, and physical safeguards, including:
- Encryption of data in transit using industry-standard TLS
- Encryption of stored authorization tokens at rest
- Restricting access to authorized firm personnel on a need-to-know basis
- Hosting on infrastructure operated by Amazon Web Services
No method of transmission or storage is completely secure, and we cannot guarantee absolute security. We will address any data incident in accordance with applicable law and our professional obligations.
6. Data Retention
We retain QuickBooks data and related workpapers for as long as needed to provide accounting services to you and to meet our legal, regulatory, and professional recordkeeping obligations. Authorization tokens are retained until the connection is revoked or the engagement ends. When data is no longer required, we delete or de-identify it.
7. Your Choices and Rights
- Disconnecting the Integration — you may revoke the Integration's access to your QuickBooks Online company at any time from within QuickBooks Online or from the Intuit App Store "My Apps" page. Once revoked, the Integration can no longer access your data.
- Access and deletion — you may request a copy of, correction of, or deletion of information we hold about you, subject to our legal and professional recordkeeping obligations.
- Depending on where you reside, you may have additional rights under applicable privacy laws. We will honor those rights as required by law.
8. Children's Privacy
The Integration is a business tool intended for use by accounting professionals and businesses. It is not directed to children, and we do not knowingly collect information from children under 13.
9. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above. We will communicate material changes to affected customers where appropriate.
